Position Description:

Maintenance Coordinator position is responsible for the effective execution of all maintenance work order processes. He / she is responsible to the Brokers and Administrative Director for the efficient and effective use of planning and scheduling all work orders to conduct maintenance activities which result in minimum property damage and maximum customer service. In order to fulfill these responsibilities in the most effective manner, the Maintenance Coordinator is empowered to manage work priority, develop schedules, and engage the proper maintenance technician to complete the work order accurately, effectively and efficiently.

Duties and Responsibilities:

  • 1. Once a valid work order is submitted, the Maintenance Coordinator will prioritize, dispatch vendor, and follow-up on status and accuracy of the work performed.
  • 2. Principal contact and liaison between the maintenance department, vendors, Owners and Tenants,
  • 3. Review all work order requests from Owners, Tenants and determine validity and accuracy of information and engage the appropriate vendor.
  • 4. Emergency work orders are processed by the Maintenance Coordinators.
  • 5. Reviews work order requests for accuracy and clarity: clear scope of work, establishes realistic completion dates, proper lead times and proper billing address/unit number. Reviews for proper authorization (Quote authorized by Owner)
  • 6. Escalates issues to the Broker for work which does not appear to be valid or does not have proper authorization.
  • 7. Reviews the work to be performed and determine the best way to accomplish the work/schedule the work and with whom.
  • 8. Work with Tenants and Owners to give proper notice of entry to make repairs.
  • 9. Approach all aspect of the work being performed with safety as the highest priority.
  • 10. Request work order Quotes.
  • 11. Determine and identify any vendor delivered service for the work order.
  • 12. Formally type up Quotes and provide the Owner with the requested quote/cost estimate for the work to be performed: labor, material, and outside services.
  • 13. Run Open work order reports daily and manage the status of work and backlog of work orders. Close out work orders. Update status of work orders (i.e. complete, waiting, new, etc.)
  • 14.. Works with Maintenance Techs and supervisors to determine resources available.
  • 15 Develops the maintenance schedule for work orders for each Tech by knowing the vendor skill set and abilities.
  • 16. Actively participate in meetings.
  • 17. Follow up and communicates schedule to all necessary parties

Position Goals and Measures of Positive Performance:

  • 1. Mechanical inclination.
  • 2. Must have adequate craft knowledge and skill to accurately assign work orders. Must have a demonstrated ability to visualize and communicate the execution of work.
  • 3. Should have good written and verbal communications skills and have demonstrated the ability to be approachable, tactful, and professional.
  • 4. Know or willing to learn new technology
  • 5. Good organizational skills. Demonstrated organizational and planning/scheduling skills.
  • 6. Demonstrated ability to write and provide simple and accurate instructions. Create letters, notices, and emails.
  • 7. Knowledge and understands the maintenance processes and proper use of the work order system, planning and scheduling.
  • 8. Can manage multiple priorities or projects simultaneously and keep them progressing to completion.
  • 9. Able to report to work regularly and on time each scheduled workday.
  • 10. Able to speak, understand and write in Spanish is preferred but not required.
  • 11. Weekends may be required.

Training is provided. Pay based on experience and performance.

Job Type: Full-time

Pay: $14.00 - $15.00 per hour
